Experts Answer on Above Questions on Principles of Management

Selected organisation – the organisation selected for analysis is mcDonald Malaysia.

Formal communication versus informal communication

In respect to McDonald Malaysia, the formal communication process follows the official channel such as branch managers issuing weekly work schedules, head office sending standard operating procedure updates, food safety and hygiene training sessions for employees. Informal communication on the other hand takes place in the form of causal interaction between employees such as employees discussing shift swaps using WhatsApp, supervisor giving quick verbal updates before the shift.
The difference therefore implies that the formal communication is official and documented, whereas the informal one is casual and unofficial. There is a hierarchy in formal communication but informal communication takes place across all levels.

Non verbal communication

In respect to McDonald Malaysia, there is significant use of nonverbal communication across different departments within employees. Some of the examples include direct eye contact while taking orders, hand signals between kitchen staff during busy periods, showing customer friendliness with a smile, and facial expressions showing urgency during peak hours. The overall impact of the nonverbal communication is positive on customer satisfaction and better team coordination.

For communication barriers

The first one is the language barriers because the workforce in Malaysia is multicultural. It would be difficult for the foreign workers to understand instructions given in Bahasa Malaysia. The second one is a physical barrier as there is significant noise in the kitchen which makes it difficult for the staff members to hear instructions during lunch hours. The third one is a hierarchical barrier, as the operation managers may find it difficult to report to senior level managers directly. The fourth one is information overload, as the employees receive multiple updates on menu changes, promotions and procedures which leads to confusion.

Suggestions to improve communication

It is important to utilise digital communication platforms for announcements and schedule, conduct daily briefing to help every employee understand their targets, utilise multilingual communication to ensure foreign workers understand the structure and communication skill training along with encouraging employees for open feedback.

Reflection

This assignment has significantly enhanced my understanding with respect to the communication barriers that are likely in a fast food retail chain and the strategies that can be applied in solving communication related barriers. As an OUM learner, I learned the importance of communication and in particular the role of formal and informal communication along with nonverbal communication in effectively managing a fast food retail chain.

Motivation theory

The most appropriate motivational theory is Herzberg two factor theory because at McDonald Malaysia, there are issues in relation to hygiene factors and with proper strategies for recognition, promotion of employees, it can be possible to motivate them to perform better.

Leadership Theory

The leadership theory is transformational leadership because the restaurant manager plays a significant role in inspiring employees to improve customer service standards and encourage teamwork for improved productivity.

Form of control

The most suitable form of control is concurrent control because it allows managers to monitor different aspects at a single instance such as preparing foods, customer service, and cleanliness on a real time basis so that they can take necessary action before it affects customers.

Type of team

The functional team is mostly appropriate in a Fast Food retail like McDonald Malaysia because a proper coordination is required for a functional person such as kitchen crew, cashier and customer service staff.

Force of change

It is the technological change because mcDonald Malaysia continuously adopts new technology like self order kiosks, mobile ordering apps, digital payment to improve customer convenience.
